Privacy Policy

MYTECH Career Fair 2026 ("MYTECH", "we", "our", or "us") is organised by the Faculty of Computer Science & Information Technology (FCSIT), Universiti Malaya. This Privacy Policy explains what personal data we collect when you use our website and event platform, why we collect it, and how we protect and use it.

By registering an account or using this platform, you acknowledge that you have read and understood this Privacy Policy.

1. Data We Collect

1.1 Identity & Contact Information

  • Full name (as per NRIC or passport)
  • Malaysian IC number or passport number
  • University email address (used for authentication)
  • Personal email address
  • Contact phone number

1.2 Academic Information

  • Educational institution
  • Matric number (for Universiti Malaya students)
  • Faculty / department
  • Level of study (undergraduate, postgraduate)
  • Academic standing
  • Current year of study
  • Expected graduation year

1.3 Career Preferences

  • Primary purpose(s) for attending the career fair (e.g., seeking internship, full-time positions, networking)

1.4 Resume

  • Resume / CV file (PDF, max 1 MB) uploaded voluntarily. Files are stored securely on Google Drive and are accessible only to authorised MYTECH organisers and participating companies with your consent.

1.5 Event Activity Data

  • Session RSVP records
  • QR code attendance claims and timestamps
  • Points earned and transaction history

1.6 Authentication Data

  • Authentication is handled by Supabase. You may sign in via Google OAuth (restricted to .edu.my university accounts) or email and password. We do not store your password in plaintext.

2. How We Use Your Data

  • Event operations — to register you for the career fair, manage session RSVPs, and track attendance via QR codes.
  • Identity verification — IC/passport number and matric number are used to verify your eligibility and issue certificates or lucky draw prizes where applicable.
  • Connecting with employers — with your consent given during profile setup, your resume and academic profile may be shared with participating companies at the career fair.
  • Communications — we may contact you via your registered email address regarding event updates, schedule changes, or prize notifications.
  • Analytics & improvement — aggregated, anonymised data may be used to improve future events.

3. Data Sharing

We do not sell your personal data. We may share your data with:

  • Participating companies — your profile and resume are shared only when you have provided explicit consent during registration.
  • Service providers — Supabase (authentication and database hosting) and Google Drive (resume storage). These providers process data under their own privacy policies and data processing agreements.
  • University administration — aggregate attendance and participation data may be reported to FCSIT, Universiti Malaya for academic or administrative purposes.

4. Data Retention

Your account and personal data are retained for the duration of the MYTECH Career Fair 2026 event and for a reasonable administrative period thereafter (typically up to 12 months post-event). Resume files on Google Drive are retained for the same period unless you request earlier deletion.

5. Your Rights

You have the right to:

  • Access — view the personal data stored in your profile at any time via the Profile page.
  • Correction — update your profile information through the Profile page.
  • Deletion — request deletion of your account and personal data by emailing us. Note that deletion may affect your participation in event activities.
  • Withdraw consent — you may request that your resume be removed or that your data not be shared with companies by contacting us before the event date.

6. Security

We implement reasonable technical safeguards including encrypted authentication (Supabase), HTTPS, rate limiting on sensitive endpoints, and role-based access control. Only authorised MYTECH administrators can access sensitive fields such as IC numbers and matric numbers.

7. Children's Privacy

This platform is intended for university students aged 18 and above. We do not knowingly collect data from individuals under 18.

8. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated via the registered email address or a notice on this website. Continued use of the platform after changes constitutes acceptance of the updated policy.
